1 Applying for a Japanese Entry Visa
(1) Where to Apply and Direct Inquiries
The Embassy has outsourced visa application and inquiry services to VFS Global Services Nepal Private Ltd. As a general rule, the Embassy does not accept visa applications directly from applicants (excluding Diplomatic and Official visas (*1)).
Applicants are requested to book an appointment through the VFS Global Services Nepal Private Ltd. website and submit their application at the designated time.
For all inquiries regarding visa applications (required documents, procedures, how to book an appointment, etc.), please contact *VFS Global Services Nepal Private Ltd. (2) directly.
Note 1: Every year, particularly from March to April and September to November, the number of "Student" visa applications increases significantly, and VFS appointments become extremely crowded. Since a visa is valid for three months, we ask those planning to visit Japan during these periods to apply well in advance once your travel schedule is confirmed.

(2) Requests for Individual Visa Processing by the Embassy
The Embassy only accepts applications for Diplomatic and Official visas. All other visa types must, in principle, be submitted through VFS.
This division of roles between VFS and the Embassy is maintained to process a large volume of visa applications more efficiently.
We frequently receive inquiries via phone or email requesting "special acceptance of applications at the Embassy," "intervention because VFS appointments are unavailable," or "expedited issuance due to an imminent travel date." Please refrain from making such requests via phone or email, as we are unable to fulfill them. Furthermore, responding to these inquiries hinders our ability to perform other essential duties.
(3) On-screen Messages on the VFS Global Appointment System
When attempting to book an appointment on the VFS Global website, you may see a red message stating: "There are no open seats available for selected center - Japan Visa Application Center, Kathmandu." This does not mean the website is malfunctioning; it means all currently released appointment slots are fully booked. New appointment slots for up to 10 working days ahead are released daily. Please check the website again the following day for updated availability.
(4) Processing Time for Visa Issuance
It typically takes 6 working days from the time of application at VFS Global to the issuance of a visa. If there are any deficiencies in the documents, it will take longer; please double-check your documents before submission.
In cases where a more detailed examination is required, it may take 1 to 2 months to complete the review. Please ensure you apply with ample time to spare.

(Notice) We have received information regarding entities claiming to be VFS Global and offering to book appointments or obtain visas on behalf of applicants in exchange for high fees. Neither VFS Global nor the Embassy is involved with such services in any way. VFS Global and the Embassy bear no responsibility for any damages or troubles incurred through the use of these services.
Additionally, some individuals may claim to represent VFS Global and advertise "priority appointment booking" in exchange for a fee. VFS Global does not offer any such service. Both VFS Global and the Embassy strive to provide fair visa application opportunities to all applicants.
2 Frequently Asked Questions (FAQ)
A1: The reason for the rejection is that your application did not meet the criteria of visa issuance. We do not give you the specific reason of the rejection because if we do so, the information would eventually become known to the public. Once that happened, there is a danger that some people might misappropriate such information to get around the visa examination process and try to enter Japan for illegal purposes. It would impede the proper visa examination process in the future and have negative effects on Japanese society. The Administrative Procedure Act, Article 3, Paragraph 1, Item 10 excludes "dispositions concerning departure and immigration of foreign nationals" from application of the obligation to show the examination criteria or the reasons for the rejection of the application.
Q2: Why can't I reapply immediately after my visa application was rejected?
A2: We do not accept your visa application if your previous application was rejected and you will apply for the same purpose of visit within six months from the rejection. This is because if, for example, we accept the same application the day after it was rejected, the circumstances of the applicant would not change so that the result of examination would be the same. However, we sometimes accept re-applications within six months in cases where your circumstances have changed significantly after the rejection, and travel to Japan is necessary for humanitarian reasons. Consult with the Japanese Embassy or Consulate where you plan to apply for the visa before making the application.
Q3: Can I go directly to the Embassy to apply for a visa?
A3: No, you cannot. Except for those applying for Diplomatic or Official visas, all visa applications are handled by the outsourced service provider, VFS Global. Please book an appointment through the VFS website first.
Q4: My travel date is approaching! Can you issue my visa faster?
A4: We apologize, but we cannot accommodate individual requests for expedited issuance. To ensure fair and efficient processing for everyone, applications are reviewed in the order they are received. The months of March–April and September–November are particularly busy, so we recommend applying well in advance once your travel is decided.
Q5: I don't know the required documents or how to book an appointment. Can I call the Embassy?
A5: For consultations regarding documents and appointments, please contact VFS Global directly. The Embassy does not provide individual application support via phone or email. Please use VFS's "Click to Talk" or email services.
Q6: I can't get an appointment. Can the Embassy instruct VFS to open a slot for me?
A6: The Embassy cannot adjust individual appointment slots. Please check the website yourself for availability and secure your own appointment.

3 Withdrawal of Visa Application/ Transfer of Visa to a New Passport
-Withdrawal of Visa Application
If you wish to withdraw your visa application while it is still under process, please contact VFS first. You are then required to submit a "Request for Withdrawal" (free format) to VFS, stating the reason for withdrawal and bearing the applicant's own signature.
Important Notes:
1 Application Fees: In the event of withdrawal, VFS service charges are non-refundable.
2 Return of Passport: Please be aware that after the Request for Withdrawal is accepted, there may be a time lag of several days before your passport is returned to you.
*For inquiries regarding temporary withdrawal of your application (e.g., temporary return of your passport), please contact the Consular Section of this Embassy separately.
-Transfer of Visa to a New Passport
If you have already been issued a visa but have since received a new passport and wish to transfer the visa from your old passport to the new one, please contact the Consular Section by email (consular-emb@km.mofa.go.jp ). There is no fee for this procedure; however, the process will take several days.
